The situation
My AskAI's founder wanted to build a ChatGPT-style tool where businesses upload their own documents and get a chatbot that actually knows their content. The AI integration and file handling complexity had stalled the project.
Bubble gave the product a fast path to market. The visual editor handled the user-facing onboarding, file management and chat interface, while the AI processing happened on external services connected through Bubble's API Connector. The founder could iterate on the user experience without touching the AI pipeline.
Four weeks was the timeline — the AI chatbot space was exploding and every week without a product meant losing ground to competitors.
What we built
We built the entire product experience in Bubble and connected it to OpenAI and Pinecone through the API Connector plugin.
Document upload and processing
Users upload documents through a Bubble file uploader with validation for supported formats and size limits. Backend workflows extract text from uploaded files and send it to the OpenAI embeddings API through the API Connector. Processing status is tracked with custom states so users see real-time progress as their documents are indexed.
AI chat integration
The chat interface is built in Bubble with a repeating group for message history and custom states for the typing indicator. When a user sends a message, a Bubble workflow calls the OpenAI API through the API Connector, retrieves relevant document chunks from Pinecone, and streams the response back to the chat interface. Scheduled API workflows handle the async processing.
Multi-tenant data architecture
Each business account has its own document set and chatbot configuration. Privacy rules in the Bubble database ensure one account's documents, embeddings and chat history are never visible to another. The data architecture supports hundreds of concurrent accounts without cross-contamination.
Onboarding flow
Users go from signup to working chatbot in under 5 minutes. The Bubble onboarding flow guides them through account creation, document upload, processing wait and first chat — all tracked with custom states. The flow was designed for non-technical users who don't understand embeddings or vector databases.
